Executive Coaching Associates is a marketing vehicle. It does not trade in its own right, but exists to facilitate client access to a range of professional services. As a consequence, Executive Coaching Associates itself has a minimal data holding interest. Our website address is: https://executivecoachingassociates.co.uk. As a UK registered site, the site complies with English data protection regulations (currently GDPR 2018).

What we do with your data
In terms of personal data, the site holds only:
- Data relating to Executive Coaching Associates website managers
- Testimonial, Thought Leadership or Case Study data, reflecting specific client views or experiences. Such material will only be posted with the permission of (and for a period agreed with) the relevant client.
Who we share your data with
Our general policy on personal data, however supplied (eg letter, email, form or phone call) is outlined below.
We do not and shall not in any circumstances sell your private data to any other parties.
Information provided to Executive Coaching Associates is shared in the first instance with the three Executive Coaching Associates Founders, one of whom will manage your enquiry. It is not saved on any Executive Coaching Associates systems.
Should your enquiry not lead to an Executive Coaching Associates member providing a service to you, your data will be deleted from the Founders’ data holdings.
Should your enquiry result in one or more Executive Coaching Associates members providing you a service, then your initial and subsequent data will be managed by and in accordance with the policy of the relevant Executive Coaching Associates member(s). Note that all Executive Coaching Associates members comply with English data protection standards.
Be aware that, in providing services to you as a contracted client, Executive Coaching Associates members may engage trusted third parties (eg to conduct psychometric assessments) and share with them the data they need to provide that additional service. Such third parties are generally established professional organisations operating appropriate personal data management policies. Data will only be shared with these third parties with your prior knowledge and permission.
We will not otherwise give your private data to any other parties, unless required to do so by court order or judgement.
How long we retain your data
For individuals who complete a contact form, email us, phone us or contact us by other means including face to face meetings and post, data is retained for two calendar months by the Founders.
For individuals/organisations who become clients: relevant data will be held and managed by the Executive Coaching Associates members providing your service. Please note that, in order to enable them to meet all their obligations under UK legislation (including for tax purposes), Executive Coaching Associates members may hold data for a period of 7 years after receipt of payment for the last service provided by the Executive Coaching Associates member.
For individuals validating testimonials, thought leadership or case studies for use in Executive Coaching Associates and member marketing materials, typically this material will be held indefinitely, subject to agreement with the individual/organisation.
What rights you have over your data
Individuals with whom we have had contact have the right to request a copy of the personal data that we hold about them. In such cases, they will be required first to prove their identity in order to protect the true individuals regarding whom such requests are made. The time taken to process such requests may subsequently be charged for.
In addition, consent for us to retain any electronic, postal, telephone-based and live communications made to us, and / or notes or other records of these, analogue or digital, in the legitimate interest of our ability to efficiently serve your needs as a customer whether in the present or in the future, will be presumed in the absence of express instructions to the contrary at or after the time that the communications occur.
Consent for us to retain such communications or records thereof may be revoked by any subject at any time by asserting in writing to us the right to be forgotten. In such circumstances, we will make every effort to permanently destroy all such records within a period not exceeding sixty (60) working days. This does not include any data we are obliged to keep for administrative, legal, or security purposes.

How we protect your data
We take security and customer confidentiality very seriously. Minimal data is captured via this website and only should you choose to complete a Contact Form. All data you provide is held securely at our premises behind firewalls and other security systems.
What data breach procedures we have in place
In the highly unlikely circumstances of a data breach occurring, all potentially impacted clients will be contacted as soon as possible; all data servers isolated and all security systems checked / updated.
